Some aquarium jobs do not belong on a weekly or monthly checklist. You do them because the equipment changed, a measurement drifted, a part started wearing out, or you know an outage or trip is coming.

This page will help you decide what needs attention, what can keep running, and what should be replaced or backed up before it becomes an emergency.

Start with what changed

I do not want you replacing perfectly good equipment because somebody posted an annual checklist. Long-term maintenance should start because something changed, something is wearing out, or you need to prepare for a real event.

Something looks differentA leak, salt trail, swollen cabinet panel, cracked tubing, corrosion, algae, or another visible change needs attention.
Performance changedFlow dropped, a reading drifted, output slowed, a pump got noisy, the temperature became unreliable, or an alarm repeated.

Keep one simple record

You do not need complicated software. A spreadsheet, note on your phone, or printed page works. You just need to know what equipment you own, when you last worked on it, and whether anything has changed.

Identify itRecord the equipment name, model, size, serial number when useful, install date, warranty, and where the instructions live.
Record normalSave the usual setting, output, pressure, TDS, temperature, sound, water level, alarm state, or other measurement that helps you recognize a change.
Record the workWrite down service dates, parts replaced, calibration results, problems, warranty claims, and which spare or replacement fits.

Look at the problem before you start replacing things

This is not one giant maintenance day. Go to the section that matches the problem in front of you, and leave the equipment that is working normally alone.

The date is only one clue

The condition of the equipment, how well it is working, the manufacturer’s directions, and any trip or outage you are preparing for matter more than a generic six-month reminder.

Figure out what changed before you touch anything

Compare the aquarium with your normal record. Take pictures, confirm the date and model, repeat a surprising measurement with a reliable second method, and look for anything that happened before the change.

Then decide whether you simply need to inspect it, clean it, replace it, prepare for an upcoming event, or get help from somebody qualified.

Write down:what changed, when you noticed it, the normal value or condition, recent maintenance, power events, new equipment, livestock changes, and every alarm.
Do not make three unrelated changes at once. You will have a much harder time proving which change helped or created the next problem.

Protect the source water: inspect the RO/DI system

RO/DI stages do different jobs. Sediment, carbon, membrane, and DI service should be based on the exact system, local source water, pressure, production, measured performance, capacity, and current manufacturer directions.

Before replacing anything, identify which stage is actually due. After service, reinstall everything in the correct order, flush it as directed, check for leaks, and verify the product water before it goes anywhere near the aquarium.

Pay attention to:reduced output, unusual pressure, rising membrane or final TDS, depleted DI, changing source water, suspected chlorine protection problems, and leaks after service.
Color alone is not the whole answer. Do not use one fixed replacement date or one cartridge color to diagnose every RO/DI system. Use the complete service guide and the current instructions for your exact filtration system.

Inspect everything that can leak

Start with the system running normally and look for dampness, salt trails, air entering a line, a changed water level, and fittings that move. Then isolate power and water safely before touching tubing, unions, valves, check valves, seals, or plumbing.

Look for cracking, brittleness, swelling, corrosion, vibration wear, loose support, and connections that changed. If you service anything, test it again with the system running and during the normal shutdown or back-siphon condition before walking away.

Pay attention to:a damp fitting, white salt trail, hard or deformed seal, brittle tubing, unexplained air, changed pressure or flow, corrosion, vibration, and a leak that appears only after restart.
Plumbing can affect life support and the floor below the tank. If the repair is beyond your experience, stop the affected equipment safely and get qualified help.

Inspect the stand, cabinet, and floor contact

Dry the area and remove anything blocking the view. Look at the panels, seams, fasteners, feet, floor contact, rust, swelling, soft material, persistent moisture, odor, and any sign that the aquarium or stand moved.

Compare pictures over time. A web page cannot tell you whether a questionable stand, aquarium seam, or floor is structurally safe. When something looks compromised, stop adding load or moving the system and get help from somebody qualified to evaluate it.

Pay attention to:soft or swollen wood, rust, a new gap, bowing, a cracked seam, persistent dampness, mold, uneven contact, or a tank and stand that no longer line up the way they did.
Do not wait for a scheduled inspection. Check immediately after a leak, spill, impact, move, leveling concern, or equipment change that added significant weight.

Should you clean it, replace it, or keep watching it?

Review the equipment record, current manufacturer guidance, service history, warranty, available parts, measured performance, damage, and what happens if the device fails. A return pump or heater deserves more planning than a convenience accessory.

Verify a strange reading before replacing the device. If replacement is the right answer, test the new equipment before removing a proven backup and record the new settings and install date.

Replace or escalate when:calibration will not hold, a fault repeats, output falls, a cable is damaged, the unit leaks or overheats, alarms repeat, or a critical replacement part is no longer available.
There is no honest universal lifespan table. Equipment design, use, environment, service, failure history, and manufacturer guidance all matter.

Prepare for an outage or trip before you need the plan

Find the single points of failure. Decide how you will protect oxygenation and circulation first, then temperature and the rest of the life-support system. Charge and test realistic backup power or air, confirm alarms reach a real person, and keep appropriate spare equipment and parts.

For travel, write simple caretaker instructions with food and top-off limits, contacts, what normal looks like, what not to touch, and what to do if an alarm appears. Test every piece of automation well before leaving.

Your plan is not ready when:the battery is untested, there is no air or flow plan, the caretaker is guessing, top-off or food is unlimited, alerts reach nobody, or the restart steps are unclear.
Do not make major changes right before leaving. Use the outage and vacation guide to build a simple plan before you need it.

Do not turn one warning sign into a brand-new routine

When nuisance algae or another warning appears, identify the problem and review what changed before choosing the maintenance action. Check parameter trends, source water, feeding, lighting, flow, filtration, recent livestock, and the work you already performed.

Work on the cause, make one sensible change, and write down what happened. If you are not sure what the problem is—or the tank responds badly—stop repeating the same treatment.

Pay attention to:growth returning, a worsening trend, livestock stress, manual removal that never solves the cause, or a chemical or equipment change that creates a new problem.
Troubleshooting is not a fifth maintenance schedule. It is a response to something specific that you identified.

The job is finished when the tank is safe, everything is running normally, and you have written down what changed—not when the old part lands in the trash.

Keep monitoringThe equipment and structure remain dry, stable, within verified performance, and inside current manufacturer guidance. Record the check and the next trigger.
Service itYou know the exact model, procedure, replacement part or medium, shutdown risk, and success check. Follow the current instructions and supervise the restart.
Replace itPerformance, safety, reliability, available parts, or failure consequences justify replacement. Test the replacement and preserve a working backup when practical.
Get helpStructural integrity, household electricity, complicated plumbing, animal transport, or a high-risk system change is outside a beginner checklist. Pause safely and involve somebody qualified.

Moving an aquarium, transporting animals, changing major plumbing, replacing the main filtration system, or restarting after a long interruption can become high-risk quickly. You may need holding water, oxygen, temperature control, biological filtration, electrical and plumbing work, transportation, backup equipment, and qualified help.

How often should RO/DI filters be replaced?

Each stage has a different job. Source water, pressure, production, measured TDS or rejection, disinfectant protection, capacity, and manufacturer instructions matter more than one date for the entire system.

What spare aquarium equipment should I keep?

Start with the parts that protect oxygenation, circulation, and temperature. The best spare list depends on tank size, livestock, local outage risk, equipment availability, and how quickly you could obtain a replacement.

How do I prepare my aquarium before vacation?

Is salt creep just cosmetic?
