Some aquarium jobs do not belong on a weekly or monthly checklist. You do them because the equipment changed, a measurement drifted, a part started wearing out, or you know an outage or trip is coming.
This page will help you decide what needs attention, what can keep running, and what should be replaced or backed up before it becomes an emergency.

I do not want you replacing perfectly good equipment because somebody posted an annual checklist. Long-term maintenance should start because something changed, something is wearing out, or you need to prepare for a real event.

You do not need complicated software. A spreadsheet, note on your phone, or printed page works. You just need to know what equipment you own, when you last worked on it, and whether anything has changed.
Look at the problem before you start replacing things

This is not one giant maintenance day. Go to the section that matches the problem in front of you, and leave the equipment that is working normally alone.
The date is only one clue
The condition of the equipment, how well it is working, the manufacturer’s directions, and any trip or outage you are preparing for matter more than a generic six-month reminder.
Figure out what changed before you touch anything
Compare the aquarium with your normal record. Take pictures, confirm the date and model, repeat a surprising measurement with a reliable second method, and look for anything that happened before the change.
Then decide whether you simply need to inspect it, clean it, replace it, prepare for an upcoming event, or get help from somebody qualified.
Protect the source water: inspect the RO/DI system
RO/DI stages do different jobs. Sediment, carbon, membrane, and DI service should be based on the exact system, local source water, pressure, production, measured performance, capacity, and current manufacturer directions.
Before replacing anything, identify which stage is actually due. After service, reinstall everything in the correct order, flush it as directed, check for leaks, and verify the product water before it goes anywhere near the aquarium.
Inspect everything that can leak
Start with the system running normally and look for dampness, salt trails, air entering a line, a changed water level, and fittings that move. Then isolate power and water safely before touching tubing, unions, valves, check valves, seals, or plumbing.
Look for cracking, brittleness, swelling, corrosion, vibration wear, loose support, and connections that changed. If you service anything, test it again with the system running and during the normal shutdown or back-siphon condition before walking away.
Inspect the stand, cabinet, and floor contact
Dry the area and remove anything blocking the view. Look at the panels, seams, fasteners, feet, floor contact, rust, swelling, soft material, persistent moisture, odor, and any sign that the aquarium or stand moved.
Compare pictures over time. A web page cannot tell you whether a questionable stand, aquarium seam, or floor is structurally safe. When something looks compromised, stop adding load or moving the system and get help from somebody qualified to evaluate it.
Should you clean it, replace it, or keep watching it?
Review the equipment record, current manufacturer guidance, service history, warranty, available parts, measured performance, damage, and what happens if the device fails. A return pump or heater deserves more planning than a convenience accessory.
Verify a strange reading before replacing the device. If replacement is the right answer, test the new equipment before removing a proven backup and record the new settings and install date.
Prepare for an outage or trip before you need the plan
Find the single points of failure. Decide how you will protect oxygenation and circulation first, then temperature and the rest of the life-support system. Charge and test realistic backup power or air, confirm alarms reach a real person, and keep appropriate spare equipment and parts.
For travel, write simple caretaker instructions with food and top-off limits, contacts, what normal looks like, what not to touch, and what to do if an alarm appears. Test every piece of automation well before leaving.
Do not turn one warning sign into a brand-new routine
When nuisance algae or another warning appears, identify the problem and review what changed before choosing the maintenance action. Check parameter trends, source water, feeding, lighting, flow, filtration, recent livestock, and the work you already performed.
Work on the cause, make one sensible change, and write down what happened. If you are not sure what the problem is—or the tank responds badly—stop repeating the same treatment.

Moving an aquarium, transporting animals, changing major plumbing, replacing the main filtration system, or restarting after a long interruption can become high-risk quickly. You may need holding water, oxygen, temperature control, biological filtration, electrical and plumbing work, transportation, backup equipment, and qualified help.
